Welcome to the SproutsCon 2025 Exhibitor Resource Center. Here you will find important planning information including the Required Badge Registration, Freeman Shipping Instructions, Electrical Ordering, and Refrigeration Ordering.

Badge Registration

  • Badges are required for all show staff to enter all SproutsCon activities, including show setup.
  • Badge pickup will be available onsite outside the Ryman C Expo Hall. 
  • Each booth includes 3 complimentary badges. Additional badges will incur a $249 fee billed back to the vendor.
  • A $100 late fee will also apply to any badges registered for onsite. The last day for pre-registration, at the discounted rate, is Saturday, 8/16.
  • Brokers are required to purchase badges for the 2025 event. Broker badges can be purchased in a 4-pack or individually. Pricing is as follows:

Early Bird (by 5/31): 4-pack - $800, Individual - $249

Standard (after 5/31): 4-pack - $1000, Individual - $299

Sponsorship Opportunities

SproutsCon sponsorship opportunities are designed to offer a variety of exciting ways to get even more involved at the event. From featuring a product in the team member welcome bag, to branded opportunities throughout the event, you are sure to find a unique way to feature your products/brand. Sponsorships are available on a first-come, first-served basis as many of these opportunities are exclusive. Available sponsorships start at $2,500.

In-Bound (to show) Shipping

Once you receive the SproutsCon Exhibitor Kit, be sure to review the Non-Perishable Shipping and Perishable Shipping details to ensure your items are available at your booth when setup begins.

  • Perishable items must be properly labeled, designated as frozen or refrigerated, and shipped direct to the show site at the address provided no earlier than 12:00 PM Friday, August 15th. Please review the Freeman site for appropriate shipping addresses and labels.
  • Non-perishable items must be properly labeled and shipped to the Freeman Advance Shipment warehouse no later than August 11th. There is NO temperature-controlled warehousing available at the Advance Warehouse. Please review the Freeman site for appropriate shipping addresses and labels.

On-site Outbound Shipping

Small Parcel 

This year’s show will feature a dedicated FedEx desk near the exhibitor registration area from 5:00 PM – 7:00 PM on show day to expedite your outbound shipments. FedEx will NOT pick-up boxes and shipments from your booth area, even if the boxes are taped and labeled. All outbound shipments must be taken to FedEx or your preferred shipping company’s offsite location.  

 

Large Parcel/Freight 

Refer to the Freeman Exhibitor Kit for options regarding outbound freight. Note, all outbound carriers must check-in by 6:30 PM on August 18, 2025.

BOOTH SERVICES

Freeman Exhibitor Kit

Within 2-3 weeks of booth approval, Freeman will send the main booth contact a link to the SproutsCon 2025 Exhibitor Kit. This will contain important show information, as well as optional upgrades and purchases.

Show Sampling

For detailed information, review the show Sampling PolicyAnticipated attendance for the 2025 show is 1800 team members from four key store positions and the support team. Sprouts encourages exhibiting brands to bring coupons in lieu of full samples where it makes sense.

Gaylord Opryland Required Forms

All vendors sampling at the event are required to complete the Gaylord Food Preparation Service Rules & Regulations / Waiver and Indemnification Agreement and all applicable forms by July 18. Food Preparation Support

Any vendors requiring hotel assistance for booth food preparation or equipment can reach out to Meagan.Brown@gaylordhotels.com directly for details on available options and pricing.

Electrical & Internet/WiFi

Electrical and Internet/WiFi are not included in a standard booth package and need to be purchased. Gaylord Opryland is the provider for all electrical and internet needs for SproutsCon 2025. Online orders can be placed between May 19 – August 16, 2025.

  • You will need to register with the site to be able to order services. Create an account if you are a new user.
  • Once you log in locate your show under the “My Events” section. 
  • Select the appropriate services department
  • Choose the services for each department for your booth, clicking on “Add to Cart” at the end of each selection.
  • Review your shopping cart.
  • After all your selections are made and verified continue through the “Secure Checkout” icon. 
  • Should you have questions please reach out using the “Help” button at the top right of the page. This will alert a specialist that you need assistance with your order.

Technology Rentals

Encore – ADD LINK services are available for technology rentals. This includes, but is not limited to, large and small format HD monitors, PC based laptops, audio packages, lighting, and cables.

Booth Refrigeration/Equipment

SproutsCon 2025 is proud to partner with Lowe Rental, Inc. to offer exhibitors refrigerators, freezers, and additional equipment rentals. Please refer to the current rental catalog and Lowe order form included with your exhibitor packet and place your order by September 7th.

ADD FLAT RATES FROM FREEMAN

Show Decorator / Furniture

Should you require additional equipment or rentals in your booth (I.E. more tables), please refer to the information sent directly to the main booth contact by Freeman. We encourage you to place your orders in advance as on-site additions may not be possible based on inventory.

Ice

Ice will be bagged and provided free of charge to all exhibitors. See the show floorplan for specific locations.

Parking

Exhibitors can park in the self-parking lots marked in blue on the map below for a discounted self-parking rate of $27.75 + taxes / fees, per day. In and out privileges are for overnight guests only. Day guests are charged per entry. Anyone staying at the hotel under the Sprouts block will have parking automatically charged to their guest room at the discounted rate. Anyone not staying onsite will need to pick up discounted passes at the Exhibitor Check-In desk.  

 

Self-Drop Load In 

All privately owned/local vehicles (POV) dropping items off for the show will have a dedicated area to drop their booth items close to the exhibit hall. Items must be unloaded at street level (no dock space available) and unloading is limited to 10 minutes. Due to construction, the unloading area for exhibitors will not be disclosed until a month before the show. The tradeshow planning team will update this page with the unloading location / details once they have been finalized.

Post-Show Donations

SproutsCon 2025 is proud to partner with Second Harvest Food Bank of Middle Tennessee to donate leftover products from the tradeshow. Donation stickers are available at the Freeman service desk. Collection bins will be available at the rear of the exhibit hall at the end of the show.
